The Challenge
Bee Line’s operations were severely bottlenecked by a manual system relying on handwritten documents and clipboard-based tracking. This reliance created six distinct points of failure for human error, particularly in manual VIN entry, which often led to costly logistical mistakes requiring rerouting across thousands of miles. Furthermore, a lack of real-time visibility forced customers to rely on manual phone calls for updates, limiting the company’s ability to scale its fleet.
Solution Implemented
Valere delivered a unified web and mobile application developed with React Native and Laravel to serve as a central hub for all operations. The solution features AI-powered document scanning to automate vehicle logging and a mobile-first driver app equipped with biometric authentication. By automating data transfers and shipment alerts, the platform eliminated redundant manual entries and streamlined communication between drivers, managers, and customers.
About the Company
Mission
Bee Line Transport is a specialized logistics provider dedicated to optimizing fleet efficiency and reducing operational overhead through technological innovation. Based in Oregon, the company serves the transportation market by providing reliable vehicle shipment services. Their mission focuses on modernizing traditional workflows to enhance the driver experience and improve overall business performance through real-time data and automation.
Key Leadership
Ryan McCrae (General Manager) recognized that the company’s reliance on manual processes was a significant risk to the business, noting that a single shipment error could require thousands of miles to fix. He sought a partner to leverage technology to eliminate these vulnerabilities and improve the work-life balance for his team. His vision was to move away from “clipboard-based tracking” toward a scalable system that could handle increased load counts without increasing administrative stress.
The Challenge: Designing a Tech-Enabled Platform to solve manual, paper-based operational bottlenecks
When Bee Line approached Valere, their operations were burdened by a heavily manual workflow that hindered growth and increased the risk of expensive errors.
The legacy system required sequential VIN numbers to be manually entered at multiple points throughout the shipment process. This duplication of effort was not only time-consuming but created six potential points of failure where a single typo could derail an entire shipment.
Operations relied on “clipboard tracking” and manual coordination. Customers had no way to see their shipment status in real-time, which forced drivers and managers to spend significant time on the phone providing manual updates 24 hours before delivery.
These technical inefficiencies created a hard ceiling on scalability. Managing the fleet was so labor-intensive that it restricted the total number of shipments Bee Line could handle per week. Additionally, the “thousands of miles” required to fix manual routing mistakes resulted in significant unnecessary operational costs and overhead.
Why Bee Line Partnered with Valere for AI-Driven Automation
Ryan McCrae understood that he needed a partner who could turn his vision of a complete AI transformation into reality. That search led him to connect with Guy Pistone, CEO and Founder of Valere. Valere recognized that this was more than a technology upgrade, it was a fundamental operational shift.
What set the partnership apart was Valere’s ability to align strategic guidance with hands-on execution, working closely with Bee Line to understand the realities of the business before designing the solution. The relationship was built on trust, collaboration, and a shared commitment to making the transformation both practical and scalable.
“If we messed up a shipment, it could be thousands of miles to fix that mistake. I knew we could leverage technology to stop this.”

The Solution: Engineering an Automated Fleet Management Platform with AI Integration to reduce processing time by 60%
To eliminate manual logs and fragmented reporting, Valere designed a custom digital platform that automates tracking, documentation, and billing in one unified system. The solution was built on a modern, secure architecture that supports cross-platform access, with a React Native mobile application delivering a fast, mobile-first driver experience and a Laravel backend serving as the central hub for shipment tracking and automated reporting. Biometric authentication enables secure, frictionless driver login while protecting sensitive operational data.
Intelligent automation was embedded directly into fleet workflows to replace repetitive data entry. AI-powered document scanning captures vehicle information and receipts instantly, removing the need for manual typing. Automated data synchronization ensures shipment details flow seamlessly from pickup to completion without duplication, while smart notifications trigger real-time billing actions and customer updates based on live driver activity.
The project followed a structured development path: The project moved from Discovery and Technical Assessment of the manual workflow to Architecture and Build using React Native and Laravel, concluding with the integration of AI-driven automation and Validation of the two-step shipment process.
The Results
The digital transformation fundamentally improved Bee Line’s operations, evolving their workflow from a paper-bound system into a high-efficiency digital powerhouse.
Key Outcomes
Efficiency & Scalability Gains:
- 60% reduction in shipment processing time.
- Reduced shipment steps from six to just two or three.
- Doubled driver management capacity (one dispatcher can now handle twice as many drivers).
Technical Performance & Accuracy:
- Human error points reduced from six to one.
- Elimination of manual VIN entry through AI-based document scanning and pre-populated dropdowns.
User & Customer Experience:
- Significant reduction in inbound customer service calls due to automated alerts.
- Improved work-life balance for managers by reducing after-hours paperwork.
The Client’s Perspective
“Now, instead of handling 10 drivers, I can easily manage twice as many. Every small time-saving feature adds up, and it’s made a massive difference in operations.”
